The type of personal information we collect 

We currently collect and process the following information:

• • Personal identifiers, contacts and characteristics (for example, name and contact details)
  • Media to assess potential works to be undertaken, 

• Promotional media, although, we try to anonymize this to avoid any personal identification & with assumed consent from clients which can be withdrawn at any time once communicated to ACS

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• To discuss quotations around requested works
• To ensure clients are clearly communicated with
• To process job applications
• General work-related purposes

We use the information that you have given us in order to keep track of communications, create calendar entries, financial tasks & have a contact database (which is held securely in email clients & Business Management Systems – Specifically Google Workspace) & manage potential clients on WhatsApp.

We may share this information with relevant limited companies to fulfil potential desired work outcomes. To the best of our knowledge, they adhere to GDPR principles too but we cannot guarantee compliance.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your assumed consent. You are able to remove your consent at any time. You can do this by contacting directors@atlantiscleaning.co.uk 

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We have a vital interest.

(e) We need it to perform a public task.

(f) We have a legitimate interest.

How we store your personal information 

Your information is securely stored on electronic systems with in-built protections. 

We keep:

Personal Data

• Name(s)
• Addresses
• Medical details 
• Banking details

Sensitive Data

• Criminal activity

for the minimum necessary period or unless a request is made to delete sooner. 

We will then dispose of your information by deletion from the Google Workspace & further deletion from any temporarily stored parts of the process like a ‘recycling bin’.

If communication is via WhatsApp, Mobile or Associated Cloud Systems, data that has not been permitted to be reused for promotional purposes will be fully deleted from the device to the reasonable degree that it would only be forensically retrievable, if at all. 

Emails, depending upon what they contain are either stored, deleted or archived for later deletion when legally permitted to.  

 

Your data protection rights

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
